For many years, I used Mac version of Outlook and Mac-only Entourage. Nowadays, I use Apple‘s Mail more often than Entourage. As a matter of fact, I didn’t use Mail probably till 14 months ago. Oh, wait… Several years ago, I used it for a very short time. It was a horrible e-mail application. It consistently failed to send out messages. And Windows users couldn’t open my attachments. Inevitably, I had to use Microsoft Entourage.

Then comes the following question: Is Apple’s Mail still inferior to Microsoft’s Entourage? Let me ask another question. Are there any unique functions on Entourage that Apple’s Mail doesn’t have?

I had three reasons why I had to use Entourage to check and send e-mail messages. No. 1, Mail didn’t support a global search function. I sometimes wanted to find a particular old message with a key phrase. Mail didn’t let me. And Entourage did. No. 2, I sometimes had to send a message with an attachment to a PC user. PC users couldn’t open Mac attachments sent from Mail. No. 3, I had a couple of Hotmail accounts. And Entourage accesses POP as well as Hotmail accounts.

Taking a look at Screenshot 01, I have Mail running. If I want to send a message with an attachment to a PC user, all I have to do is to click on the attachment button and then check the box for Send Windows-Friendly Attachments. (See Screenshot 01.) Then the attachment will be encoded for Windows OS.

Screenshot 01 – Source: MacHouse

Screenshot 02 – Source: MacHouse

About a month ago, I received a message from Telestream concerning ScreenFlow. Can I use Mail to search for this particular message? Mail now has a search box at the top right corner. If I type Screenflow and hit the return key… Mail lists three messages. And the bottom one is what I was looking for. (See Screenshot 02.) So the current version (Version 3.5) of Mail has a global search function regardless of my e-mail addresses.

Screenshot 03 – Source: MacHouse

Screenshot 04 – Source: MacHouse

How about checking Hotmail messages with Mail? Remember, Microsoft announced about 35 days ago that Hotmail (and Live) accounts can now be accessed through POP. Screenshot 03 shows that I’m just looking at a message with Mail that reached junk5278@live.jp. Screenshow 04 shows how my account is set up to use this Live account on Mail. (Read ‘Windows Live POP3: Checking Hotmail Messages with Apple Mail’ for more information on how to POP-access Hotmail accounts with Mail.)

Screenshot 05 – Source: MacHouse

Screenshot 06 – Source: MacHouse

The e-mail address that I stated above is only 40 days old or so. Anyway, let’s see what happens if I try to access this account with Entourage 2008 (Version 12.1.5). The e-mail address is the same. This time, I wan to access it as a Hotmail account. I’ve set up an account as shown in Screenshot 05. If I try to receive messages… I get an error message saying ‘A Windows Live Hotmail Plus subscription is required.’ (See Screenshot 06.) Right… My Live account is too new. If I want to access this account (not through POP), I have to pay US$19.95 a year.

Screenshot 07 – Source: MacHouse

Screenshot 08 – Source: MacHouse

Screenshot 09 – Source: MacHouse

Okay. How about an old Hotmail account that I set up before 2006? I have more than 870 messages stored in a particular Hotmail account. Actually, I had more than 2,000 messages. I deleted many a few weeks ago. And I still have more than 800 of them at this account. Anyway, Screenshot 08 shows that Entourage has successfully started extracting messages. (See Screenshot 07.) But… I get an error again. It says ‘Could not retrieve mail.’ (See Screenshot 08.) What the hell happened? It appears that Entourage consistently fails if you have more than several hundred messages stored at a Hotmail account. Yesterday, I replaced internal hard disk drives. Fortunately, I backed up Microsoft User Data. All I have to do is to copy Office 2008 Identities or equivalent onto User > Documents > Microsoft User Data. (See Screenshot 09.) And I won’t lose a single one whether I have 800 or 2,000 messages at my Hotmail account. Otherwise, I would have to abandon this Hotmail account.

In summary, Apple has improved Mail’s functions over years. The current version allows Mac users to send attachments to PC users. Its search function is good enough for them to find particular messages with a simple key phrase. Thanks to Microsoft, Mail can also access Hotmail accounts through POP. If you have a lot of messages stored at a Hotmail account, chances are that Entourage will fail to extract them all. Therefore, we find no reason for Mac users to pay and get the commercial e-mail application to check and send e-mail messages.

The following documentary video shows that Microsoft Entourage 2008 fails to extract e-mail messages from an e-mail account that was created before 2006. After installing a new internal hard disk drive, I re-installed Microsoft Office 2008.

Please read Terms of Use for Guests before watching any of the video tutorials.

Related articles:

Windows Live POP3: Checking Hotmail Messages with Apple Mail
Microsoft Entourage 2008 for Mac – Transferring Data from 2004 to 2008
Mac Software Review: Microsoft Entourage 2008 for Mac

Mail is a product of Apple, Inc.
Microsoft Entourage 2008 is a product of Microsoft Corporation.

Almost 10 years ago, I used to use Connectix‘s Virtual PC with Windows 98 to send a message with a PDF attachment to my dissertation adviser on my iMac 333 MHz.
